This Scout conference will be held at 9 venues around Victoria on Saturday August 1, involving all adults (Leaders, Rovers, Parents & Adult Support).
The venues are either Schools or Universities in halls or theatres.
The organising committee is seeking proposals from Scouts groups/Venturers Units to provide catering services on the day for each venue individually with all revenue going to the supplier as a fund raising for Scouting activities.
The conference commences with registration at 9:30am and concludes by 4:15pm.
There are 4 Metropolitan venues:
Number of participants expected at these venues is between 300 – 600
There are 5 Country venues
Number of participants expected at these venues is between 50 - 150
The actual booking numbers will be advised to suppliers 1 week prior to the event.
The suppliers must be able to provide all their own equipment needed to cook/heat the proposed menu onsite.
All setup and pack up must be achieved on the day
The Scout Association of Victoria will cover all insurance requirements
1 Person on site must have accredited food handling qualifications
All food must be prepared and stored within Health Department requirements
Lunch will be paid for by the participants
Suppliers must plan to deliver all Lunch meals within a 1 hour period, ie fast service
Suppliers are encouraged to price items in whole dollars
Suppliers will only need to handle cash, not credit/debit cards
Coffee/Tea & Biscuits will be paid by the organising committee based on bookings at $/person
Suppliers will need to provide all eating utensils, plates/bowls, coffee cups, napkins, etc
Some venues will have other specific requirements these will be discussed with the selected supplier
Participants have been advised that if they have any special diet outside general Vegetarian they will need to BYO lunch. (e.g. Gluten free, lactose free, etc)
